Managing leave requests

Tracking of leave balances and banked time

Simplify the tracking of time off balances and time banks in your organization.

  • Employees can view and track the evolution of their balances, such as vacation, sick days, personal days, or banked hours.
  • Supervisors can view the balances of their team members when needed.
  • Administrators can make balance adjustments individually or in batches to save time.
  • The solution checks balances when time off requests are submitted and updates them automatically.
  • The solution can block requests that would lead to a negative balance, helping you apply your internal rules rigorously.

Punch clock

The time clock is used as a complement to the timesheet. It allows the initial timesheet data to be collected in real time, and then adjusted as needed. The original data always remains visible and cannot be modified, which makes it easier to track any changes made.

Our online time clocks are divided into two categories:

Individual time clocks

  • Each person uses their own device. This can be a cell phone, tablet, or computer.
  • This option is suitable for both field employees and office staff.
  • Optionally, it is possible to record the device’s coordinates using geolocation. This records the location only at the time of clocking in or out, not continuously.

Shared punch clocks

  • Employees use one or more shared devices, such as a tablet mounted on a wall.
  • Optionally, a Personal Identification Number (PIN) or NFC card can be used to authenticate the person clocking in or out.
  • This type of solution is especially well suited for factory or construction site environments.

Deadline and automated reminders

Does your team not always submit their timesheets by the expected deadlines? With FDTpro, you no longer have to follow up one by one.

The solution can automatically send reminders to users who have not yet submitted their timesheet by the deadline you have defined. You also have access to a dashboard that lets you quickly see the status of timesheets and target the follow-ups to be done with employees and approvers.

Expense and travel tracking

Centralize expenses, travel, and supporting documents to simplify reimbursements and cost tracking.

  • Employees can enter their expenses and travel directly in the solution. Expenses can be approved at the same time as the timesheet when the same process works for your organization.
  • When the expense process is different from the timesheet process, such as a different frequency or approver, a separate form can be configured to manage entry and approval separately.
  • Supporting documents, such as photos of receipts, can be attached directly to the reimbursement request.
  • The data can then be used to reimburse employees and track expenses associated with your projects.
  • The necessary information and documents are kept in one place, which makes validation and follow-up easier.

Mobile application

A mobile application is also available for Android and iOS devices. It offers all the features of the web version. Depending on your needs, the app can be used for timesheets or as a time clock in the field.

Flexible access rights management

FDTpro enables you to grant each user the combination of rights necessary to perform their work.

Some rights apply to the entire solution, while others are more specifically divided according to user groups.

Examples:

  • Creation, viewing, approval, and locking of timesheets or leave requests.

Validations and Error Detection

Reduce corrections and follow-ups after the fact with built-in validations in FDTpro.

  • FDTpro helps users identify certain errors before submitting their timesheet. When information is missing or seems incorrect, the user can be notified immediately and make the necessary corrections.

The solution can verify, among other things:

  • Mandatory fields to complete.
  • The minimum number of hours to enter in a week.
  • Overlapping hours in a day.
  • Values that are too low or too high.
  • Combinations of choices that are not allowed in drop-down lists.

Integration with other software

Save time and simultaneously reduce the risk of errors by integrating FDTpro with your other software.

FDTpro is primarily a tool focused on data collection and report generation. If you then need to use this data in another tool, such as a payroll system or accounting software, we can bridge the gap to exchange data with these software programs. Such bridges have already been built with software like Sage (Sage 50), Avantage, Acomba, Nethris, Ceridian, Employeur D, ADP, Maestro, and even our clients' "in-house" software.

Data export can also be automated using an Application Programming Interface (API).

Online solution

FDTpro is offered as an online service (SaaS) and works through your web browser. A simple internet connection is all that's needed to access it, making it available anywhere, anytime.

As the solution is very powerful and fast, it offers the same feel as software installed directly on your workstation, but without having to install anything or set up a server.

Bilingual interface

FDTpro is available in French or English. The solution can also combine both, allowing each user in the same organization to choose their preferred language.
