Attendance tracking
If you just need to know employee arrival and departure times, an "Attendance" section like this could be used. It allows your employees to manually record their daily attendance, without using a real-time punch clock system.
Employees can add as many attendance blocks as necessary in a single day to accurately reflect their ins and outs. The software automatically calculates the total hours worked between arrivals and departures to avoid manual calculation errors.
Work details
To find out what your employees have done, a "Work Details" section will allow you to associate hours with projects, tasks or other information.
This format is popular and effective because the information entered on one line can apply to several days of the week, which significantly reduces data entry time.
If necessary, the "Attendance" and "Work Details" sections can be combined. A validation is then performed to ensure data consistency.
Breakdown of hours worked
If you need to collect complete details, including both what employees did and when they did it, the following format will be more suitable for you.
It merges the nature of the work performed with the time of execution in a single entry.
This approach provides maximum detail but requires more time to input since the employee must document their day chronologically and in detail.
Punch clock
If you choose to use one of our time clock solutions, your timesheet will look like this.
This is a simple and efficient way to collect data in real time. Rather than manually filling out their timesheet, the employee uses a time clock (punch) that automatically pre-fills their timesheet.
In case of error or oversight, hours can be modified by the manager or the employee. However, adjustments made are identified.
Absences
If you also want to enter absences, two approaches are available to you depending on your management needs:
If you opt for the "Time off Requests" module, the requested leaves will appear in a read-only timesheet.
Alternatively, the employee enters their absences (sick leave, vacation, floating day, etc.) directly on their timesheet.
Summary
A "Summary" section, focused on payroll processing, combines data from both the hours worked and absences sections. This is where, according to your business rules, calculations related to overtime and time banks can be performed.
It is possible to automate the banking and recovery of hours, or to let employees indicate their preference.
Expenses and travel
The "Expenses" and "Travel" sections allow employees to enter incurred expenses and travel to be reimbursed. They can attach their receipts, add comments, and link each entry to the relevant project.
For mileage, different rates can also be applied based on the criteria you define, such as carpooling, the use of an electric vehicle, or other rules specific to your reality.
In most cases, these sections are integrated directly into the timesheet. If your entry or approval process differs from that for worked hours, expense accounts can also be presented in a separate form, with their own functionality.
Others
Other sections can be added to meet your specific and timesheet-related needs.
For example, collect data related to teleworking, on-call, bonuses, and more!
To accommodate different employee categories, different timesheet formats can coexist within the same organization.
